When does this privacy policy apply?
This Privacy Policy applies to personal information that we collect, use, store and otherwise process about you in connection with your interactions with Flame Ontario Arts Collective, particularly our website, ticketing platform, event forms and applications, and the volunteer system regarding SideBurn.
Flame Ontario Arts Collective follows the requirements of the Personal Information Protection and Electronics Document Act of Canada (PIPEDA).
Personal Information Flame Ontario Arts Collective May Collect
Flame Ontario Arts Collective is responsible for all personal information in its possession or custody, including information that has been transferred to it through any third party to manage our SideBurn and other affiliated events.
We may collect information in the following ways:
- Cookies and web beacons on our websites.
- Email requests or online forms submitted by you.
- Personal interactions.
- Registration information is associated with the various Flame Ontario Arts Collective-sponsored platforms or portals.
- Other information pertaining to Flame Ontario Arts Collective operations and Events, including, but not limited to processing payments for ticketing, distribution of newsletters, communications, or marketing materials.
Securing Your Personal Information
We ensure that all information collected will remain secure and in its original form. Access to all information not publicly available is strictly controlled. We have appropriate physical, technical, and administrative procedures to safeguard and prevent unauthorized access and to maintain data security.
We do not share your personal information with third parties except as provided below:
- At your request or with your consent.
- When using third-party websites, such as event registration, please review the privacy policy of any page you visit or access via our website, as we do not control the privacy practices of third parties.
- Disclosure to other third parties as is required or appropriate to comply with law enforcement, such as a court order or subpoena; protect individual rights, property, or safety; enforce our policies or contracts; collect amounts owed to us; assist with an investigation or prosecution of suspected or actual illegal activity or as otherwise allowed under applicable law.
These third parties include, but are not limited to:
- Ticketing sale systems;
- Purchasing systems such as Stripe;
- Technology ticketing tools such as FreshDesk; and
- Police, ambulance, or others as a result of incidents at the event.
Consent
An individual may decline to consent, or revoke their consent, to the collection, use, and disclosure of their personal information for all or any purposes.
Individuals may opt not to have their personal information used to receive communications about Flame Ontario Arts Collective events or regular communications. Individuals who wish to decline or revoke their consent for their personal information to be used for such communication purposes should email privacy@sideburn.ca.
Your Rights to Your Information
You may request:
- Access to specific personal information collected about you;
- The categories and/or sources of information we have collected;
- How we use your information;
- To whom your information has been disclosed; and
- That we delete your information, subject to limited exceptions prescribed by law.
Requests must be made in writing, and we must verify your identity before we can release your personal information. Honouring this request more than twice in a 12-month period is our discretion.
Flame Ontario Arts Collective has the right to refuse a request for access to personal information if:
- The information is protected by solicitor-client privilege.
- Granting access would reveal confidential financial information.
- Doing so would reasonably be expected to threaten the safety or security of another.
- The information was collected for purposes related to the detection and prevention of fraud.
- The information was generated in the course of a formal dispute resolution process.
- The information would likely reveal personal information about another individual.
We make reasonable efforts to ensure personal information is accurate and complete. You may make a request to update, correct, or delete your personal information at any time. You are responsible for maintaining the accuracy of the personal information you submit.
Changes to this Privacy Policy
If we make material changes to how we collect your personal information or how we use or disclose it, we will post or provide appropriate notice in accordance with applicable law.
